Top Ten Tips for Quality Dictation

Every one hour of recording can take between 3 and 6 hours to transcribe.  Honestly!  In order to minimise the length of time it takes to transcribe your recording (and to make our lives a little easier) we have come up with our top ten tips for quality dictation.

  1. Make sure you are in a quiet area.  Any background noise can be distracting and can also make your words hard to hear.  Background noise can include telephones ringing, passing traffic, people talking etc.  So turn off your mobile, shut the window and close the door.
  2. Test your recording equipment.  Know where all the buttons are located and make sure the batteries are working.
  3. Have a test run and learn how close you need to be to the equipment.  It can muffle your voice, be too quiet or be too LOUD!
  4. Gather everything you need.  Are all the pieces of paper near you?  Each time you turn your head away from the recorder, your voice may be faint and the russle of papers could also make it hard to us to hear.
  5. If there is more than one person being recorded, introduce yourselves, especially if you would like us to identify who is speaking.
  6. Try to speak clearly and at your regular speed.
  7. Spell any difficult or unusual words or names, including place names.  This is only required the first time you use the word, we pick things up quite quickly!
  8. Feel free to use punctuation by saying the words 'comma', 'full stop', 'new paragraph', 'question mark' etc.  This is not compulsory but may help us understand how you like your document to read.
  9. If you need to take a break, you may wish to pause the equipment.  Also tell us when you reach the end of your recording.
  10. And finally, remember we are real people transcribing your recording... you are allowed to say hello to us if you want to!
